Hi everyone, we know there has been some confusion about the deadline this weekend because of my error in updating the challenge and collection settings on AO3.

To give everyone the best possible chance to complete their story, we will be leaving the collection open until 8pm Eastern time/5pm Pacific time today, 10/14. (See how much longer that will be on the countdown clock.)

At that time, we will be sending the remaining unfilled requests to the pinch hit list, unless other arrangements have been made. (You can make other arrangements by emailing or PMing the mods.) All pinch hits assigned from today forward will be due at midnight Pacific time on 10/19.

The collection will reopen for posting pinch hits and treats once all pinch hits have been assigned. You can sign up for the pinch hit list here. For anyone interested in writing a treat, you can find all of this year's requests here.

Once everyone who has posted a work in the exchange has received a work in return, we will reveal the collection for everyone to read.

Thank you to everyone for your enthusiasm and feedback this year! We've had a number of issues behind the scenes, and know many of you have been dealing with similar, so we really appreciate your patience and understanding.

A few bits of business while we're all busy creating:

  1. The AO3 collection for 2018 is now open for posting!

  2. We will have a few pinch hits going out on FRIDAY, 9/21, around 6pm Eastern Time. If you haven't signed up for the pinch hit list where these will be broadcast, head on over to sign up now!

  3. BETA POST!

    While we do not require stories to have a beta reader, we strongly recommend it.

    If you're volunteering as a beta, please comment here! Tell us:

    - Which fandoms you can work in (full list of Crossovering fandoms)

    - How to contact you: email, @Twitter, Tumblr, Skype, PM on LJ/DW, etc.

    - If you're offering SPAG, worldbuilding, character, or plot help ... or all four!

    - An estimate of what your turnaround time is

    - Your dealbreakers, aka what you won't beta, e.g., violence, non-con, cheating, mushrooms, talking animals, etc.

    Looking for a beta but none of the volunteers have listed your fandom(s)? You can leave an anonymous comment here listing the fandoms you need help with. Do not reveal other details of your assignment.

    Anonymous comments will be unscreened and can be replied to by beta volunteers with their contact info.

    If you're looking for a beta and are worried about revealing your assignment, you can email the mods, and we'll act as go-between on your behalf.

If you're new to exchanges at AO3 and confused about how sign-ups work, read this tutorial about signing up for gift exchanges.

As a reminder: You're allowed to choose multiple fandoms from within a greater franchise in a single request/offer, but we cannot prevent AO3 from matching on those 2 fandoms. For example, you might offer Stargate Atlantis, Stargate SG-1, and Star Trek: Deep Space Nine, but if someone else requests Stargate Atlantis and Stargate SG-1, AO3 might pair you.

Put short, if you prefer to receive or create a crossover/fusion between 2 distinctly separate franchises, we encourage you to refrain from putting 2+ sub-franchise fandoms in a single request/offer.

Signups open a little over an hour! That's a perfect amount of time to start sharing your Dear Crossovering Creator Letters!

These letters are 100% optional but highly encouraged (particularly due to the nature of this exchange). If you've never participated in an exchange like this before, a Dear Creator Letter is a post at your DW or Tumblr, etc. detailing your requests and giving your assigned creator ideas for possible art or fic. These letters also include your likes, dislikes, and any triggers you might have. You can link them here, as well as in your sign-up form. How you format or write them is entirely up to you.

If you have any triggers (things that may cause you harm if you read about them), we highly recommend that you make that clear in your letter as well as in the optional details on your signup. Not every participant clicks through to letters, and this is the best way to cover your bases so that your creator will not unintentionally use your triggers.

For more info and great examples of what we mean check out the following links: The Yuletide FAQ or letters from previous years.

Keep in mind that letters are completely optional, which also means that creators are in no way required to follow the optional details. The only requirements are that they use the fandoms you matched on and that they respect your DNWs. Essentially: Optional details are optional. However, works intentionally including the recipient's stated triggers will be removed from the collection and the creator may be barred from future participation at modly discretion.

Hey, we're really close on finalizing the tagset for this year's Crossovering exchange, but we have a few questions on fandoms before we can do that.

(If clearing these up takes us past the scheduled start of sign-ups, we will extend the sign-up period as needed to make up the time.)

First, this year we did approve individual installments in a series, and separate "chunks" of related canons where there is a sufficient quantity of non-overlapping characters and/or settings to warrant individual tags. So, you'll see things like: Star Wars Original Trilogy and Rogue One: A Star Wars Story and Star Wars Legends: Thrawn Trilogy - Timothy Zahn and Star Wars - All Media Types.

Now for the outstanding items:

If you're the person who nominated any of the following, please let us know your answers in the comments below or via email at crossoveringmods@gmail.com.

Discworld - Terry Pratchett / Monstrous Regiment - Terry Pratchett
The archive wants us to put Monstrous Regiment through under the Discworld canonical tag and no mods are familiar enough to make a judgement call on this one. Are these the same fandom, or do the characters/settings diverge enough that they should remain separate?

Dragon Age - All Media Types
Does this nomination include non-video game elements (such as the Hard in Hightown novelization)? Both DA2 and DAI are nominated and approved separately. If those together suffice for your crossover/fusion requests, is the All Media Types still required?


Robot & Frank
This has apparently never been entered as a tag or fandom in the archive, so anyone using it this year will be the very first! To better match with archive nomenclature, this is approved in the tagset as Robot & Frank (2012).

ETA: We're all set! Nominations will open later today, once I can get on a network that doesn't have the archive blocked as porn ;)

Nominations have now officially closed. We'd like to thank all of you who took the time to nominate, and we sincerely hope to see you all at sign-ups when they begin on August 8.

Until then, please make sure to watch this space. Although we don't expect to have as many questionable fandoms as we have in previous years, there may still be questions we have for nominators, so be on the lookout. We will begin approving fandoms right away and will continue through the next day or so until we have a complete tagset. We plan on getting the tagset up as soon as we can, thus giving everyone time to peruse the list of fandoms before sign-ups open.

You may notice during this process that some of your fandoms will be listed as rejected or approved at AO3. But, please keep in mind that this does not necessarily reflect what will or won't appear in the final tag set. (Should your fandom be listed as approved, it likely is. Should your fandom be listed as rejected, it may be approved under a different tag.) Once the tag set is complete, we will make it public and post here to let everyone know that the review period is over and if there are any issues or discrepancies with your nominations, you can let us know at that time.

We're so excited for this year's exchange, we're getting started a little early: you will have until August 5 @ 11:59 PM PDT to nominate up to 8 fandoms you might want to request or offer for Crossovering. (What time is that for me?)


Don't worry, we'll give warnings here and on Tumblr multiple times before we close nominations, and we'll make sure everyone has plenty of time to get them in.

Now, here's how it works:
  • If you've done nominations for Yuletide or another exchange, this will be very familiar. You'll go here under your AO3 account and select up to 8 fandoms.
  • If the Archive provides you with a fandom tag while you're typing, please use that. It will make the process run much more smoothly.
  • Once you've filled all of the slots, just click on submit at the bottom of the page and you're done! (Of course, you aren't required to use all 8 slots.)
  • For fandoms with multiple continuities, you have the option of using the umbrella fandom tag (Fandom X - All Media Types, or Fandom Y and related fandoms, for example), or nominating each continuity separately (Final Fantasy X, Final Fantasy VIII, &c.). Please check in at the Brainstorming Post to see if you have any overlap with another participant. 
  • Nominating fandoms is not a commitment to participate in the exchange itself! We'd love to have you, but if you just want to make sure the bases are covered for friends or to make sure there is something you're interested in if you do sign up, go right ahead! No one can write it or request it if it isn't nominated.
  • If you're still unsure about how the exchange works, make sure you take a look at our FAQ page.
  • If you need to let the mods know information about your fandom that will help it get approved or tagged properly, please leave that info in the comments so we can refer to it when we review nominations. Any other questions or comments or discussion of nominations can take place here as well.

Nominations will run from July 23 – August 5. As a reminder, here's how nominations work and how they affect signups:
  • You may nominate up to 8 fandoms. At least for this year, we do not plan to change this maximum, since we've dropped the 2+ nominations requirement.

  • If a fandom you nominated has been rejected, it's likely because that fandom was nominated with a slightly different title. (More likely to happen with newer fandoms without canonical tags on AO3.) If you feel a fandom has been rejected in error, please let us know.

  • Signups require a minimum of 3 requests with a maximum of 10. For each one, you must request at least 2 fandoms and up to 10.

  • Signups require a minimum of 3 offers with a maximum of 10. For each one, you must offer at least 2 fandoms and up to 10.
When nominations begin, we will post more detailed instructions about how to nominate on AO3. (You can also review the FAQ.)

To pass the time until nominations: brainstorming post! Previously, participants used brainstorming posts to plan their nominations around the 2+ nominations requirement. But as of this year, that requirement no longer applies.

So instead, you can use this post to discuss which fandoms you plan to nominate, to share your ideas for crossovers, or to get suggestions for crossovers from other participants. You can also promote fandoms here, if you'd like.
