We understand that sign-ups are complex (particularly in this exchange) and many participants have more time to complete a sign-up on the weekend. Because of that, we have decided to extend sign-ups through the weekend.

So with that in mind, your new sign-up deadline is: Sunday, July 30 at 12 (noon) p.m. PDT. (
    Countdown here!)

We still plan on sending out assignments on the 30th, as planned. However, if matching proves difficult, we will adjust the schedule accordingly. Everyone will still get the 2 month window to create their assignments, even if we have to shift dates a little.

Hey, guys! Signups close in a little under 4 days @ 11:55 PM PDT on Thursday, July 27. Here's a countdown.

Signups are now closing at 12:00 PM PDT on Sunday, July 30th.

As a reminder, if you choose more than 2 fandoms for a single request/offer, you can match on any combination of those fandoms. We strongly encourage you to spread out your prompts and other optional details across all those possible combinations. We've seen a few signups with holes in those areas.

We also wanted to remind everyone that you can choose only 2 fandoms per request/offer. So if you'd like to see Pacific Rim crossed with Alias OR Stranger Things, but you aren't interested in a crossover between Alias and Stranger Things, you should put Pacific Rim/Alias in one request and Pacific Rim/Stranger Things in another request.

All of that said, optional details are ultimately a courtesy to your artist or author. We strongly encourage the use of optional details/prompts, particularly in an exchange like this one, but we can't force you to use them. If you choose not to leave optional details for a particular crossover match, your artist or author will be free to create whatever they want, so long as they mind your DNWs.

    DEAR CROSSOVERING CREATOR | FAQ

If you're new to exchanges at AO3 and confused about how sign-ups work, read this tutorial about signing up for gift exchanges.

As a reminder: You're allowed to choose multiple fandoms from within a greater franchise in a single request/offer, but we cannot prevent AO3 from matching on those 2 fandoms. For example, you might offer Stargate Atlantis, Stargate SG-1, and Star Trek: Deep Space Nine, but if someone else requests Stargate Atlantis and Stargate SG-1, AO3 might pair you.

Put short, if you prefer to receive or create a crossover/fusion between 2 distinctly separate franchises, we encourage you to refrain from putting 2+ sub-franchise fandoms in a single request/offer.

Signups open in 10 minutes! (Finally, right?) That means it's also time to start sharing your Dear Crossovering Creator Letters!

These letters are 100% optional but highly encouraged (particularly due to the nature of this exchange). If you've never participated in an exchange like this before, a Dear Creator Letter is a post at your DW/LJ/Tumblr/Blog, etc. detailing your requests and giving your assigned creator ideas for possible art or fic. These letters also include your likes, dislikes, and any triggers you migh thave. You can link them here, as well as in your sign-up form. How you format or write them is entirely up to you.

If you have any triggers (things that may cause you harm if you read about them), we highly recommend that you make that clear in your letter as well as in the optional details on your signup. Not every participant clicks through to letters, and this is the best way to cover your bases so that your creator will not unintentionally use your triggers.

For more info and great examples of what we mean check out the following links: The Yuletide FAQ or letters from previous years.

Keep in mind that letters are completely optional, which also means that creators are in no way required to follow the optional details. The only requirements are that they use the fandoms you matched on and that they respect your DNWs. Essentially: Optional details are optional.

If you are posting a link to your letter here, we ask that you copy/paste the following when you comment:

This year's tagset is now visible. (Alphabetical view.)

We approved 534 nominations this year. That's 329 more than last year! Please check the list even if your fandom was rejected, as it may have been approved under a related tag.

For those who like to keep track year-to-year, this year's most nominated exchange was Leverage with 9 nominations.

    We rejected only 3 fandoms:
  • Captain America: The Winter Soldier and Star Trek Beyond — As they're installments in a series. We view these like nominating one book in the Harry Potter series. However, we're open to accepting installments next year.

  • The Hunger Games - All Media Types — As we've approved The Hunger Games films and novels separately. Because participants can choose both in a request or offer, we felt All Media Types was superfluous. Again, we're absolutely open to discussion on this next year.

  • Signups open Tuesday, July 18th @ 8:00 AM PDT. (Compare to your time. See the current time in Los Angeles.)

If you have any questions or concerns about the tagset, please comment here or email crossoveringmods@gmail.com.

Otherwise, we'll see you at signups! We look forward to taking advantage of all the changes to this year's exchange—and we hope you are, too!

Nominations have now officially closed. We'd like to thank all of you who took the time to nominate, and we sincerely hope to see you all at sign-ups when they begin on July 18.

Until then, please make sure to watch this space. Although we don't expect to have as many questionable fandoms as we have in previous years, there may still be questions we have for nominators, so be on the lookout. We will begin approving fandoms right away and will continue through the next day or so until we have a complete tagset. We plan on getting the tagset up as soon as we can, thus giving everyone time to peruse the list of fandoms before sign-ups open.

You may notice during this process that some of your fandoms will be listed as rejected or approved at AO3. But, please keep in mind that this does not necessarily reflect what will or won't appear in the final tag set. (Should your fandom be listed as approved, it likely is. Should your fandom be listed as rejected, it may be approved under a different tag.) Once the tag set is complete, we will make it public and post here to let everyone know that the review period is over and if there are any issues or discrepancies with your nominations, you can let us know at that time.

    Thanks again for nominating!

There are only 24 hours left to nominate fandoms for this year's exchange! Nominations will close on July 15 at 11:59 p.m. PDT. (Find out what time that is where you live.)

Nominations are now open on AO3!

We're so excited for this year's exchange, we're getting started a little early: you will have until July 15 @ 11:59 PM PDT to nominate up to 8 fandoms you might want to request or offer for Crossovering. (What time is that for me?)

Don't worry, we'll give warnings here and on Tumblr multiple times before we close nominations, and we'll make sure everyone has plenty of time to get them in.

    Now, here's how it works:
    • If you've done nominations for Yuletide or another exchange, this will be very familiar. You'll go here under your AO3 account and select up to 8 fandoms.
    • If the Archive provides you with a fandom tag while you're typing, please use that. It will make the process run much more smoothly.
    • Once you've filled all of the slots, just click on submit at the bottom of the page and you're done! (Of course, you aren't required to use all 8 slots.)
    • For fandoms with multiple continuities, you have the option of using the umbrella fandom tag (Fandom X - All Media Types, or Fandom Y and related fandoms, for example), or nominating each continuity separately (Final Fantasy X, Final Fantasy VIII, &c.). Please check in at the Brainstorming Post to see if you have any overlap with another participant.
    • Nominating fandoms is not a commitment to participate in the exchange itself! We'd love to have you, but if you just want to make sure the bases are covered for friends or to make sure there is something you're interested in if you do sign up, go right ahead! No one can write it or request it if it isn't nominated.
    • If you're still unsure about how the exchange works, make sure you take a look at our FAQ page.
    • If you need to let the mods know information about your fandom that will help it get approved or tagged properly, please leave that info in the comments so we can refer to it when we review nominations. Any other questions or comments or discussion of nominations can take place here as well.

As always, if you have any questions or need any assistance, do not hesitate to ask! Happy Nominating!

Welcome to the Fourth Annual Crossovering exchange! Nominations begin on July 2.

We've implemented a few changes this year. You can read about those here or you can review the FAQ/rules. (Questions? Email us at crossoveringmods@gmail.com or comment here.)

Nominations will run from July 2 through July 15. As a reminder, here's how nominations work and how they affect signups:
    • You may nominate up to 8 fandoms. At least for this year, we do not plan to change this maximum, since we've dropped the 2+ nominations requirement.

    • If a fandom you nominated has been rejected, it's likely because that fandom was nominated with a slightly different title. (More likely to happen with newer fandoms without canonical tags on AO3.) If you feel a fandom has been rejected in error, please let us know.

    • Signups require a minimum of 3 requests with a maximum of 10. For each one, you must request at least 2 fandoms and up to 10.

    • Signups require a minimum of 3 offers with a maximum of 10. For each one, you must offer at least 2 fandoms and up to 10.
When nominations begin, we will post more detailed instructions about how to nominate on AO3. (You can also review the FAQ.)

To pass the time until nominations: brainstorming post! Previously, participants used brainstorming posts to plan their nominations around the 2+ nominations requirement. But as of this year, that requirement no longer applies.

So instead, you can use this post to discuss which fandoms you plan to nominate, to share your ideas for crossovers, or to get suggestions for crossovers from other participants. You can also promote fandoms here, if you'd like.

We received some great feedback. You can view the results of the poll here. Based on your input, we'll implement the following changes for this year's exchange:
    • Requests will be visible throughout signups.

    • Fandoms no longer need 2+ nominations. We will approve all fandoms, except in cases of duplicates.

    • Although the majority voted to keep the traditional bucket requests/offers system, we're lowering the minimum number of fandoms per request/offer to two (2). You can still request up to six (6) fandoms per request and offer up to ten (10) fandoms per offer.

    • Participants may request and offer art.
      • Requirements for art: Traditional or digital piece created entirely by the artist. Cannot be drawn on lined paper. Minimum size of 500,000 pixels. Must include two (2) or more of the requested fandoms.

      • If an artist's submission fails to meet the guidelines, their recipient will be sent to the pinch hits list.

      • This means that the fic/art field will be required and that we'll match based on it.
    • The crossover/fusion field will now be required. We will match on this field, if we're able to do so.

    • We will include the characters field in signups. It will not be required, but we hope you'll use it to give your author more information about you preferences.
We know that not all of these changes will suit everyone, but we hope that overall they'll improve the exchange. If you have any questions or concerns, you can leave a comment here or you can email us at crossoveringmods@gmail.com.

The rules and FAQ will be updated to reflect these changes soon.

    Schedule for this year's exchange:
    Nominations: July 2 – July 15
    Signups: July 18 – July 27
    Assignments out: July 30
    Assignments due: September 30
    Pinch hits due: October 6
    Archive live: October 7
    Authors revealed: October 14

Before we set an official schedule for this year's exchange, we wanted to get your feedback on a few subjects.

First, there's been some discussion in the past about changing how we do matching. Previously, we've simply set each request/offer up as bucket requests/offers, and participants have matched on 2+ fandoms. However, we know there's some interest in other approaches.

... unfortunately, AO3's code somewhat limits our options, so these are the options we're considering:
    • Nominations, signups, and matching remain as they've been — except that we will approve all fandoms, rather than impose a 2+ nomination requirement.

    • Participants nominate, request, and offer pairs of fandoms. For example, you might nominate: Wonder Woman (2017) & Xena: Warrior Princess. (We do not yet know what this would mean for the signup form.)

    • For each request or offer, participants would be required to choose 2+ fandoms and 2+ characters. However, this does complicate the matching process, and we might hit a wall with matching. If that happened, we would have to match based ONLY on the 2+ fandoms in each request/offer.

    • Participants nominate, request, and offer crossover relationships. Gen relationships (&) and romantic relationships (/) would both be accepted. For example, you might nominate: Diana Prince (Wonder Woman 2017)/Xena (Xena: Warrior Princess). All relationships would be nominated under Crossover Relationships.

Next, we'd like to talk about Crossovers and Fusions. For the purpose of this exchange, we've defined crossovers and fusions as such:
A crossover is when the characters/worlds of both fandoms interact. For example, Joan Watson and Sherlock Holmes solve a case with Kate Beckett and Richard Castle

A fusion is when the characters of one fandom are placed into the world of another fandom. For example, Joan Watson and Sherlock Holmes are co-pilots in the world of Pacific Rim, but the characters from Pacific Rim do not need to appear in the fic.
For the last two years, we've included these as additional tags but have not required them. (We also have not matched on them.) We only want to continue to include these if participants find them useful. We also know that some participants like the idea of requiring them — specifically, so that participants prone to leaving their Optional Details blank at least leave some useful info behind. We'd like to know your thoughts on these things.

Last, we've seen multiple request to include art. We've been hesitant to do so in the past, because it can be more difficult to maintain standards for art. However, we're willing to give it a try if a significant number of you would like to see that as an option.

So there's a poll behind the cut! Results are visible to everyone — for transparency's sake — but they're also anonymous. Anonymous commenting is also enabled, for those who can't vote in the poll and/or want to leave additional input.

    Crossovering 2017 Poll )

Edit: Oops! I forgot to include the option to remove the Crossover/Fusion element from the signups in the poll. If you'd prefer that, you can say so in question #4 or in the comments! Sorry about that!

We have now officially closed the collection for 2016, and the screennames of authors have been revealed! So if you've been curious to see who wrote for you, you can now go back and take a look. (And if you haven't already, please leave a comment thanking your author(s) for taking the time to write for you! They'll definitely appreciate it!)

All of that means we are officially done with this year's exchange, and we want to give the sincerest of thanks to everyone who participated. Whether you nominated fandoms or wrote an assignment, a pinch hit or a treat, or whether you just helped us get the word out: we truly appreciate it all. An exchange is only as good as those that show up to participate, and we are thrilled with how things turned out thanks to all of you. So, thank you, thank you, thank you!

We plan to be back next year, so please keep an eye out on Dreamwidth or Tumblr for announcements regarding that in the future!

On behalf of myself and the other mods, thank you again!

Stories are now visible here. You should receive an email from AO3 with a link to your gift soon, but you can also find it here: http://archiveofourown.org/users/YOUR-USER-NAME-HERE/gifts

Because of the delay in opening the archive, we are also delaying author reveals to Friday, October 14 at 10:00 a.m. PDT. That means, we're also giving more time for treat writing! So if you have any lingering treat ideas, you'll have until then to get them written and posted.

Please note that fics written for exchanges tend to get buried when archives go live, as a result of earlier posting dates. We advise that you change your publication date so your fic doesn't get lost in the fray.To do so, simply click Edit on your fic and scroll down to the Associations heading. Check the box next to Set a different publication date and change it to today's date.

As always, if you have any questions or concerns, please email us at crossoveringmods@gmail.com.

We will be opening the archive in ONE HOUR! Yes, it's really happening! All stories will be available for reading in one hour. (That's 10:00 a.m. PDT.)

If you have any quick edits you would like to make, now is the time.

As you have probably noticed, the opening of this year's archive has been delayed. However, we plan on opening it tomorrow, October 9, at approximately 10:00 a.m. PDT. What time is that where you are? Check here! (We will also post a one hour warning to let you know that it's about to open and any edits must be completed.)

As for our emergency pinch hit, it is still outstanding, though we have one writer working on something. That said, we encourage anyone (and everyone) to please write something for this pinch hit. (You may look at the full requests here.) Aurilly has been incredibly patient and kind regarding this issue and we would love to see some treats get written!

Thanks to all of you for your patience and understanding about these unforeseen delays! We hope all of these wonderful stories will be worth the wait! (Okay, we admit it, we've peeked, and they are definitely worth the wait!)

The final deadline for post-deadline pinch-hits has now officially passed! If you have not completed your pinch hit, we will send those requests to the pinch hit list and open it up for anyone who is interested in writing.

You may continue to post any treats after this deadline and through when authors are revealed, so if you have time this weekend, treat away!

Stories will be ready for reading once everyone who wrote a story has also received a complete story. We're currently shooting for some time on October 8, but we will keep you updated should the opening be delayed. (We will also give a one hour warning before we go live.)

Please take a look at the pinch hit list and the current emergency pinch hit if you're up to writing this weekend!

The final deadline for post-deadline pinch-hits is in about 1 hour. All pinch hits, and any edits to already posted fics, should be posted no later than 11:59 p.m. PDT on October 7.

You may continue to post any treats after this deadline and through when authors are revealed, so if you have time this weekend, treat away!

We also have one emergency pinch-hit at this time. We won't be assigning it to anyone; if you can write and post a completed story for the recipient, please do so ASAP!

Stories will be ready for reading once everyone who wrote a story has also received a complete story. We'd like that to be on October 8, so we can all dig into the awesome crossovers! We'll keep you updated as to when stories will go live, but if you have any last minute edits, it's best to get them in by the deadline above.
